What files should a designer hand over with your logo?

Ask for the versions your team and suppliers will actually use, with clear names and ownership arrangements.

Start with the approved master.

Ask which file is the editable master and which versions are exports. The master should be identified in the handover so later work begins from the right artwork. Confirm that the design is suitable for the sizes and uses in your brief.

Vector formats are commonly used when artwork needs to scale. A file extension alone does not prove that every element inside is vector. Ask the designer to confirm the construction and explain any limitations.

Request everyday versions.

Your website may need a transparent image, your social profile a square version and your sign maker a particular production format. Write those uses into the brief. Include the approved light-background and dark-background versions when they are needed.

Keep names understandable. A folder organised by master, web, print and one-colour artwork saves people from guessing. A short usage note should explain which file belongs in which setting.

Check the rights and licences.

Design ownership and permission to use third-party material should be written into the agreement. Ask about fonts, stock illustrations and any licensed components. Your suppliers may need their own font licences to edit a document.

A logo handover does not constitute trademark clearance. Discuss the appropriate legal checks before committing substantial money to a name, packaging or signage. Keep the contract and licence records with the source files.

Test the handover before closing the project.

Open the files you expect to use and check a few real applications. Can your team place the logo into its presentation tool? Can the printer use the production artwork? Is the small version readable? Resolve those questions while the project is active.

Assign an owner to maintain the approved set and keep a backup. When an identity is refreshed, archive the old files and clearly mark the current versions. Future designers should be able to understand what has been approved.
